What Property Market Data collects, why, where it is kept, and the choices you have. Written in plain English.
Who we are
Property Market Data is part of The Ivybridge Collection Ltd, a company registered in England and Wales (No. 16161623), registered office The White House, Salhouse Road, Little Plumstead, Norfolk, NR13 5ES. We are the data controller for the personal information described here, except where we process information on behalf of an estate agency that uses our platform, in which case that agency is the controller and we act on its instructions.

What we collect
When you contact us or reserve an area
Your name, agency name, email address, phone number and whatever you tell us in your message. We use it to reply, to check area availability and to set up your account if you become a customer.
When you use the platform
For each person with a login: name, email address, role and the agency they belong to. We email a one-time login code rather than storing passwords. We keep a record of actions taken in the platform so we can support you and keep it secure.
Information your agency puts into the platform
Property listings, marketing content, and, where you use our Direct Mail, Valuation or Property Power-Up features, details about properties and the people connected to them (for example a vendor's name and email for their weekly report, or an owner's name and address for a letter). We hold this on behalf of your agency and use it only to provide those features to your agency.
Property and market data
Our market pages and reports are built from public and licensed property data, such as HM Land Registry price paid data, Energy Performance Certificate records and property listing data. See our data for details.
Services you connect
If your agency connects Google Analytics, Vimeo, a social media account (through RecurPost) or its WordPress website, we receive the information needed to run that connection, described below for Google.
This website
This website uses Google Analytics to count visits and see which pages are useful. Google Analytics sets cookies in your browser to do this. You can block or delete cookies in your browser settings at any time.
Google user data
This section explains how we handle information from Google when an agency clicks Connect Google Analytics in the platform and signs in with Google.
What we access
- Google Analytics data, read-only (the "See and download your Google Analytics data" permission). We list the GA4 properties the signed-in account can see, so the agency can choose one, and then read reporting figures for the pages of that property's website that show the agency's listings: page views, sessions, visitors, engaged sessions, average session length, traffic sources, visitor cities and countries, new versus returning visitors, and file-download counts such as brochures.
- Your Google account email address, so the connection card shows which Google account is connected.
We cannot change anything in your Google Analytics account, and we do not access any other Google service.
How we use it
- Only to produce that agency's Property Power-Up reports inside our platform: the website-traffic figures for each listing, and the written summary and marketing plan in each report.
- To write that summary and plan, a small set of totals (page views, sessions, visitors, engaged sessions and downloads for the listing's page) is passed to the AI model we run on Cloudflare Workers AI. It is processed only to write that agency's report and is not used to train or improve any AI model.
How we store and protect it
- The access Google grants us is stored encrypted (AES-256) in our database, which is hosted by Cloudflare. The report figures we read are stored with that agency's reports.
- Only the agency's own users can see their reports. Our staff do not read Google data except when the agency asks us for help, to keep the service secure, or where the law requires it.
Sharing
We do not sell Google user data, use it for advertising, or share it with anyone other than the agency that connected it, except with the service providers named in this policy that help us run the platform (Cloudflare for hosting and AI processing), or where the law requires it.
Removing access
Click Disconnect on the API Keys page and we delete the stored Google access immediately and ask Google to revoke it (unless the same Google account is still connected for another agency on our platform, which would lose its connection too). You can also remove our access at any time from your Google Account's security settings, under third-party connections. Report figures already produced stay in that agency's reports unless it asks us to delete them.
Property Market Data's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Vimeo
If an agency clicks Connect Vimeo, we receive read access to that Vimeo account's videos and their play statistics, and the account name. We use it only to show video plays for each listing in that agency's Power-Up reports. The access is stored encrypted and deleted when the agency disconnects.
Who helps us run the service
- Cloudflare: hosting, database, storage and AI processing.
- Microsoft: our email, including login codes and report emails.
- Google and Vimeo: when an agency connects them, as described above.
- RecurPost: scheduling social media posts for agencies that use our social features.
- Property data suppliers: we send them property addresses or areas, not information about you, to fetch listing and market data.
Each processes information only to provide their service to us.
Why we are allowed to use it
Under UK data protection law we rely on: performing our contract with your agency; our legitimate interest in running, securing and improving the service and replying to enquiries; your consent where we ask for it (for example, connecting a Google or Vimeo account, which you can withdraw by disconnecting); and legal obligations such as keeping financial records.
How long we keep it
Account and agency information is kept while your agency is a customer and for as long afterwards as we need it for legal, accounting or dispute purposes. Enquiries from people who do not become customers are deleted when no longer needed. Connected-service access is deleted as soon as it is disconnected.
Your rights
You can ask us for a copy of your information, to correct it, to delete it, to restrict or object to how we use it, or to move it to another provider. Contact us using the details above. If your information is held for an estate agency, we will pass your request to them. If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.
